PaperItineraries

Paper-based Itineraries in the Mobile Age

by Chris Reed – Founder & CEO

Recently, my parents went on a 5 week tour of Canada, Alaska, and the United Kingdom. While visiting them before they left, they were eager to share with me the travel itinerary the tour operator had planned for them. To my surprise, they handed over a huge folder containing no less than 43 pages filled with trip notes and documents.

In the digital age where paper has virtually become redundant in many industries, it shocked me to discover that it wasn’t just my parent’s tour operators who printed their itineraries in black and white. The more I looked, the more I found out that almost every travel agency and tour operating company committed to high levels of printing out itineraries and documents for their customers.

This is one of the key issues that led to the creation of the SafeTravels mobile application.

4 Reasons Why Paper Itineraries Don’t Make Sense

1. Trips are dynamic. Times and locations of activities and events often change before and during a trip. Be it the interference of external sources such as the weather, you can never tell the future and being able to amend an itinerary can prove to be crucial in updating your customers.

2. Cost Inefficiency. Not only does this method of printing out itineraries cost travel agencies and tour operators a noticeable price when printing in bulk, a lot of effort goes into the operational cost of preparing these printouts.

3. Negative Carbon Footprint. As the majority of customers don’t make use of paper itineraries, it becomes a waste to print them out. This waste in turn affects the carbon footprint leaving a negative impact on Mother Nature.

4. Physical Burden on Customers. Travellers these days are becoming more and more savvy with lightweight travelling becoming a priority. Having to carry around a piece of paper throughout the entire day isn’t just annoying and inconvenient, it’s also ineffective. In my case, leaving pieces of paper in my bag often leads to the paper either crumpling or tearing.

It only makes sense that Travel Agents, Tour Operators, and Activity Providers utilise mobile technology to deliver dynamic itineraries to their customers. This has become more important than ever considering mobile phone are the No.1 item travellers bring on holidays (as reported by ETB News). Further, access to free WiFi is now almost considered mandatory in most hotels and cafes in popular travel locations. The excuses of how travellers and tourists do not have access to the internet are purely excuses. In fact, with the exorbitant international roaming rates carriers charge, it makes sense for the savvy tourist to purchase a local SIM card.

The SafeTravels mobile application solves the problems caused by paper itineraries and is a simple and cost-effective solution for travel companies.

What the SafeTravels app can do for travel companies:

1. Mobile Itineraries. Provide your customers with every detail of their itinerary, notes, and documents in a mobile app that they can access – even when offline.

2. Real-Time Updates.
When itinerary information is modified, customers will be alerted of the change through a notification on their phone.

3. Personalised Messages. Create personalised reminder messages that will automatically send to your customers before their activities. This is customisable according to your needs.

4. Tour Guides. Detailed destination guides for over 700 global cities and counting.

Other features include:

1. Create Your Own Branded Mobile App. The SafeTravels app allows travel companies to create their own branded version of the SafeTravels app to provide a unique branded app.

2. Communication Solution. Be able to communicate with your customers before, during, and after their trip by sending group updates or direct messages.

3. Collection of Customer Data. Collect important safety/emergency information from your customers such as emergency contacts, travel insurance details, medical information, etc. that will be accessible by the Travel company in case of an emergency.

4. Up-Sell Additional Products/Services. The SafeTravels platform accommodates the ability for travel companies to sell additional products and services to their current customers. These up-sells are linked directly to the activities in the customer’s itinerary and can be automated based on where the customer is and the type of activity the customer is signed up to. For example, a travel company is able to up-sell another related activity to its current customer.

Getting started with SafeTravels is easy with a FREE trial available for 30 days. Our app accommodates all travel companies no matter the size and style with different types of monthly subscription plans that are cost effective for all.
